Job management software for UK builders: what to look for

Most small building firms run on a mix of WhatsApp, a diary, spreadsheets and receipts in the van. Job management software pulls that into one place. Here is what actually matters when you choose one, written by a working Yorkshire building firm.

1. It has to work on a phone, on site

If the crew can't use it with dusty hands in thirty seconds, they won't. Look for clock-in and clock-out, photos and job notes that work on any phone without training.

2. Real job costing, not just invoices

The question every owner wants answered is "am I making money on this job?". Good software records materials, labour (day rate or hourly), subcontractors and plant against each job, and shows the profit as you go, not three months later.

3. Quotes and stage payments that match how building works

Extensions and conversions are paid in stages, not one invoice at the end. You want quotes that turn into a stage payment plan, invoices for each stage, and a clear view of what has been paid and what is owed.

4. Keep the money away from site staff

Your labourers need jobs, addresses and the calendar. They don't need your quotes, margins or invoices. Check the software has proper roles, so staff and supervisors can run the day without seeing the books.

5. Check how you're charged

Many trade apps charge per user, per month. That's fine for a two-person firm, but it adds up quickly when every labourer who only clocks in needs a paid login. Work out the real monthly cost for your whole crew before you commit.

6. Drawings, documents and certificates on the job

Architect drawings, building control letters, receipts, photos and gas or electrical certificates should all sit on the job they belong to, so anyone who needs them can find them.

Where HODHQ fits

HODHQ was built by Rich Brickwork Ltd, a Yorkshire bricklaying and extension firm, to run its own jobs. It covers job costing, quotes, stage payments, invoices, crew clock-ins, staff holidays, documents and certificates. Doreen, its built-in assistant, can create jobs, log costs and file receipts from a message or photo, and nothing is saved until you confirm. Money stays behind the owner's PIN.

Common questions

What is job management software for builders?

It is an app that keeps a building firm's jobs, customers, costs, quotes, invoices, staff hours and documents in one place, usually on phone and computer, so the owner can see what is happening and whether each job is making money.

Do small building firms need job management software?

Not always, but once a firm has more than one job running or more than a couple of staff, it usually saves hours of admin each week and makes it much easier to see profit per job and chase payments.
